94.7 Road race late entries/substitution.

I did not enter for this year’s race because I would have been in Doha, Qatar from now until the end of the month for work purposes. The project for which I would have been sent to assist with, has however been postponed to next year. I have now been offered a race entry by one of my work colleagues who will not be able to take part anymore. I would like to find out if there is a possibility to do a late substitution at the Cycle challenge expo at the Sandton Convention Centre? If this is a possibility, what would the procedure be, and also, what would the cost involved be? Does anyone have first-hand knowledge regarding this, because I am getting very conflicting information from different colleagues, but all of them starts their sentences with 'I have heard....".

I've done two late substitutions on previous occasions at registration/expo. No hassles. Sub fee used to be same as late entry penalty. Last time I was seeded according to my abilities, not just in one of late/open batches. Rather do this earlier than later to make sure 'good' batches are not filled up?

 

Contact the race office to find out what they require. Letter stating Names/ID/Race numbers was good enough for me.

Im in the same boat also need to do a transfer from a friend,mailed the organizers and they said just bring R100 to the expo and the original entry papers.

This is conflicting information from what I got from them, having also e-mailed them. Here is a cut-and-paste of their reply:

Good day

 

Entries are now closed. You will have to go and do a late entry at the Race Number Collection at Sandton Convention Centre, 17thand 18th of November 2011, from 10h00 – 18h00. 19th of November 2011 from 09h00 –14h00.

 

The late entry fee is R 350.00 per entry.

 

There is no way that I am going to pay an additional R350 over and above the money I paid for my colleague's entry. Maybe I should just phone them and try to speak to human being.

Does the late substitution,and reseeding still apply if you are riding for a charity ?

The website says anybody will be re-seeded when taking over an entry under point 8:

"The person who is being substituted will have their number removed from the database and a new number will be allocated. Seeding will be according to the new participant’s individual seeding index."

 

My sister is no longer able to ride and somebody off here has taken the entry off her hands. It was a charity start time

Below is the communication from the race office:

Substitutions can be done at number collection, the person who is no longer riding will have to give you his number collection document and a letter giving you permission to take over their entry. You will have to first collect the person’s race number then go to enquiries to do a substitution.

There is a substitution fee of R150.00

Based on what the site and that email say I guess it is safe to say it applies to all substitutions.

Thanks will contact them,as we are riding for a charity we were all given the same off time regardless of our different seedings. I hope it isn't so.

The fee for late entry and substitutions are different.

I was told to have the original entry with R 140 and bobs your aunt !

I'm riding for a charity group this year, and was seeded in VC.

In both 2010 and 2011, I also rode in charity groups with a VB number.

 

The person co-ordinating our charity was told by the organisers that:

(a) if your seeding places you in a group ahead than the charity group, you get the batch number from your seeding and can drop back to the charity group.

 

(b) if your seeding places you behind the charity start group, then you will be placed in the charity group.

 

With that being said, if you are substituting a charity group number, and plan to ride in the charity group, they have to apply one of the two options above (a) or (b).

Entries for the Momentum 947 Cycle Challenge are still open but we have instituted a late entry fee of R650.  If you entered late, you will not yet be seeded.

 

Should you wish to download your start time, please go to www.cyclechallenge.co.za and look for the article on Number Collection, click on the link.

 

Reseed applications for MTB are open until 10 October 2015 ONLY.

Entries for the MTB 10km and 30km and 55km are CLOSED.

Mountain Bike Challenge will take place on the Saturday and Sunday, 7 and 8 November 2015!
Kiddies Ride will take place on Saturday, 7 November 2015!

What are the seeding events for 2015?
Results from RaceTec timed CSA sanctioned cycling events, being over 90km in length from October 2014 –  5 September 2015 are the criteria for your seeding – starting time for the Cycle Challenge!
Momentum 947 Cycle Challenge 2013/2014 results will be weighted favourably.
Cyclists with outdated or no previous results will then be seeded in the open seeded start group based on the date of their entry.

The Cape Town Cycle Tour results from 2015 will be used for Momentum Cycle Challenge seeding purposes however it will be weighted differently due to the route being changed to under 90km.
Where is the venue for this year’s Cycle Challenge?
Cycle Challenge will be at Riversands Commercial Park.

Where can I find the closest accommodation if I am an out of towner?
We suggest any hotel or Bed and Breakfast in the Fourways and Dainfern area. MonteCasino is a great option too.

How do we enter as a team?
Team entries are CLOSED.

When is Race Number Collection for CC?
Race Number Collection will be at the Coca Cola Dome, in Northgate.

What is a timing chip and why is it compulsory?
·         It is compulsory to ride with a RaceTec timing chip. No Chip = No Ride
·         The Cycle Challenge is timed by RaceTec. The chip will ensure you receive an official result on completion of the race.
·         You must wear your chip on Sunday 15 Nov 2015. You will require your chip to access your start pen on race day.  If you are not wearing your RaceTec chip on race day, you will be required to purchase another one at the start in order to participate in the race.
·         If you do not have a RaceTec timing chip already, one will automatically be added to your entry.
·         If you would like to purchase a new timing chip select 'Purchase' option in the entry process.
·         In addition to being linked to your personal profile, which we access in case of a race day emergency, the organisers use this valuable data on race day to monitor flow volumes, cut off sections and road closures / openings.
·         Remember: if you are riding for charity / part of a team that may result in a slower finishing time,
        only your best results are used to calculate your seeding index for future events.

As per the Cape Town Cycle Tour it will now be compulsory to wear a RaceTec chip in order to ride the Cycle Challenge this is for your safety, statistical and logistical reasons
If you are riding for charity and intend riding slower than your seeding index this ride does not need to be counted and will not affect your seeding index going forward but you are still required to wear your valid RaceTec chip.
