You need a lot of sponsorship and a lot of riders  to cover the costs.

Using your figures this comes to around R58K (omitted cutting trails, no relevant in this case, and promotion _ event listed on event company's website which already exist; if your web designer wants R22 to make a web page and post some photos on social media then you have bigger problems 😅). 

Assuming the sponsors give nothing, they will still turn a (dinky) profit with only 35 entries. 

But hey, if enough people are happy to trek hundreds of kilometres across the country, cough up that sort of entry fee, pay for accommodation, meals, drinks, blah-blah then I suppose our little economy is just fine after all.

I’m sure R22k is for the race office, i.e. online entry fees and some other costs, like race numbers, and not just putting a website together.

Entryninja and Howler (947 use them) charges 5% of the entry fee for a basic setup with admin being done by the event organiser. So a R200 entry fee = R10 * No. of entries (1000) = R10k or R20 if it’s a R400 entry fee.

A Cat-A or Cat-R1 event is R50k prize money minimum. 

If costs are not kept under control, by the organiser, as well as their service providers, losses are quick to show up. When that happens entry fee increase and number decline. The wheel then keeps turning.

In my earlier mtb years, I rode every race I could.  Now, I race selective, where I can't  normally ride for free.

I love mtb events and I don't ride for first place.  I ride for the experience.  This weekend we have a race in Mokala National Park. I've been there millions of times, never ons a bike.

And the Mokala race is the most I've ever paid for an event, R800 for two days.
